About the Organization

The Challenge
This organization lacked a unified system of record. Staff were entering data into multiple separate payer systems, relying heavily on Excel and manual reconciliation. Their CRM platform was underutilized and stagnant, unable to keep up with evolving contracts. In addition, the agency routinely performed multiple steps to achieve a single processes outcomes. At the same time, the organization needed technology infrastructure capable of supporting new CalAIM services and preparing for value-based contracting.

Using human-centered design and an implementation science framework, Ohana HCP engaged leaders and frontline staff to identify pain points and create a roadmap. Quick demonstrations — such as applying ETL tools for data transformation — showed how long-standing issues could be resolved in weeks, not years. Moreover, a critical business operation workflow was significantly streamlined for efficiency and data accuracy.
Impact
The organization now has a roadmap to minimize redundant manual entry through APIs, establish a data warehouse for a unified view of services, and modernize workflows. They also gained a sustainable financial model template for future services. Importantly, their capital campaign now includes technology investments to ensure their new psychiatric facility launches with a strong digital backbone.
