This organization had virtually no infrastructure to support growth. Staff relied on Word documents and spreadsheets, often re-entering client data multiple times. Their system could not handle mobile work — staff had to return to the office to document care because the system crashed without strong internet. This limited their ability to scale services in the community.

Ohana HCP led an accelerated system implementation grounded in a full technology assessment that examined infrastructure gaps, data security, and application readiness. Rather than applying a one-size-fits-all process, we leveraged lessons from other organizations to design a fast, creative rollout — going live in six weeks. Human-centered design workshops surfaced real pain points from staff and leaders alike, creating empathy and alignment. This collaborative, people-centered process ensured a smooth launch within six weeks and positioned the agency to scale rapidly.

Impact

Within seven months, the organization expanded from one health plan contract to three — far faster than the two-year timeline they anticipated. Staff now work efficiently in the field without service disruption, and leadership has a technology foundation capable of scaling programs sustainably.
